Do you need to use a UK document in Canada?
Ginkgo Advisory provides solicitor verification, enhanced solicitor certification and FCDO apostille services for Canada.
We assist with UK educational, company, court and personal documents. For urgent cases, our express e-Apostille option may take a few hours to one working day.
However, completion depends on document checks, submission times and FCDO processing.
Do UK Documents Need an Apostille for Canada?
Not every UK document needs an apostille for use in Canada.
Canadian law does not impose a general requirement to authenticate foreign public documents before they enter use in Canada. However, a university, employer, court, regulator, bank or other organisation may still request an apostille.
Canada joined the Hague Apostille Convention on 11 January 2024. As a result, a UK FCDO apostille can provide the recognised Hague authentication when a Canadian recipient asks for one.
Before starting, ask the Canadian recipient whether it needs:
- an original or certified copy
- an e-Apostille or paper apostille
- separate apostilles for each document
- an Educational Credential Assessment
- a document sent directly by the issuer
- a document issued within a set period
These checks can prevent extra costs and delays.

What Is Solicitor Certification?
Solicitor certification is a formal statement signed by a UK solicitor.
For example, a solicitor may confirm that a copy matches the original document.
Basic wording often states:
“I certify that this is a true copy of the original document.”
This statement may meet a simple certified-copy request. However, it does not confirm that the issuing body created a genuine document.
Therefore, a Canadian organisation may ask for stronger proof.
What Is Enhanced Solicitor Certification?
Enhanced solicitor certification goes beyond basic true-copy wording.
First, our solicitor checks the document through a reliable source. The source may include a university, Companies House, a court record or an official online system.
Next, we prepare stronger wording, such as:
“I further certify that I have verified the authenticity of this document with the issuing institution.”
As a result, the Canadian recipient receives both a certified copy and confirmation of the source check.
Solicitor Verification and Certification
Verification and certification are separate steps.
Verification means checking the document with its source.
Certification means issuing the formal solicitor statement after that check.
For educational documents, we may use:
- direct university confirmation
- HEDD
- Gradintelligence
- Digitary
- Parchment
- an official university portal
- a secure document-sharing service
Meanwhile, company checks may involve Companies House records.
Court-document checks may include the court seal, case number, issue email or official record.
Afterwards, our solicitor prepares and signs the certificate.
What Does the FCDO Apostille Confirm?
The FCDO checks whether the relevant UK signature, stamp or seal matches its records. It then issues an apostille when the document meets the legalisation rules.
However, the apostille does not confirm every fact inside the document.
For this reason, enhanced solicitor certification can add an important extra step.
The legalisation chain may look like this:
Source verification → enhanced solicitor certification → solicitor signature → FCDO apostille
Together, these stages provide a clear document trail for use in Canada.
FCDO e-Apostille for Canada
The FCDO offers paper apostilles and e-Apostilles.
For the electronic route, a UK solicitor or notary must electronically sign the PDF. Once completed, the client can download and share the legalised file digitally.
Our solicitor’s electronic signature is registered with the FCDO for e-Apostille purposes.
Consequently, we can prepare eligible PDFs for electronic legalisation.
Nevertheless, ask the Canadian recipient whether its system accepts:
- a UK FCDO e-Apostille
- an electronically signed PDF
- a printed copy of the digital file
- a paper apostille attached to an original
A paper apostille may work better when the organisation requires a physical document.
Express e-Apostille Service for Canada
Straightforward cases may take a few hours to one working day when:
- the document is clear and complete
- verification has finished
- the PDF qualifies for an e-Apostille
- payment has arrived
- the FCDO requires no extra checks
However, additional signature or document checks may extend the timeframe.
Therefore, urgent clients should send the document and the Canadian recipient’s instructions as early as possible.
Educational Documents for Canada
UK educational documents may support:
- Canadian university admission
- college applications
- employment
- immigration
- professional licensing
- teacher certification
- healthcare registration
- qualification checks
Common documents include a Degree Certificate and Academic Transcript.
A Degree Certificate confirms the award. In contrast, an Academic Transcript lists subjects, grades, credits and study dates.
Still, an apostille does not decide the Canadian value of a UK qualification.
A university, employer, immigration body or professional regulator may also ask for a formal credential assessment.
Educational Credential Assessments
An Educational Credential Assessment, or ECA, checks whether a foreign degree, diploma or certificate is valid and equal to a Canadian credential. Immigration applicants must use an organisation or professional body that Immigration, Refugees and Citizenship Canada has designated for that purpose.
Therefore, an apostille and an ECA perform different roles.
An apostille authenticates the relevant signature or seal.
An ECA compares the qualification with Canadian education standards.
Before ordering an apostille, ask the assessment body whether it needs:
- the Degree Certificate
- the Academic Transcript
- records sent directly by the university
- sealed documents
- certified copies
- an apostille
- a specific verification service
Some assessment organisations may not require an apostille at all.
Professional Recognition in Canada
Canada regulates many professions at provincial or territorial level.
The recognition process checks whether foreign education, skills and experience meet the standards for the profession or trade in the province or territory where the applicant plans to work.
Therefore, requirements may differ between Ontario, British Columbia, Alberta, Quebec and other parts of Canada.
Regulated professions can include:
- doctors
- nurses
- pharmacists
- engineers
- teachers
- architects
- lawyers
- accountants
- skilled trades
Applicants should follow the document list issued by the relevant Canadian regulator.
UK Degree Verification for Canada
A simple certified copy may not satisfy every Canadian recipient.
For stronger proof, our solicitor can verify a UK qualification where the university provides a reliable route.
The process may include:
- reviewing the Degree Certificate
- checking the Academic Transcript
- using an official verification platform
- contacting the university
- preparing enhanced certification
- electronically signing the PDF
- arranging the FCDO apostille
This process records how we checked the qualification. However, it does not replace an ECA or professional assessment where one is required.
Company Documents for Canada
UK company documents may support:
- registering a company in Canada
- forming a Canadian subsidiary
- extra-provincial registration
- opening a corporate bank account
- investment transactions
- commercial contracts
- court proceedings
- proof of directors or shareholders
Official Companies House certificates may qualify for direct FCDO legalisation.
However, company-created documents usually need solicitor certification first.
Examples include:
- board resolutions
- shareholder resolutions
- company powers of attorney
- registers of directors
- registers of members
- authorised signatory letters
- commercial agreements
Canadian company rules can differ by province and territory. Therefore, ask the relevant registry, bank, lawyer or corporate service provider for its document checklist.
Court Documents for Canada
UK court documents may need legalisation for:
- divorce matters
- probate
- inheritance
- civil claims
- family proceedings
- debt enforcement
- commercial disputes
Examples include:
- Final Orders
- Decrees Absolute
- court judgments
- consent orders
- Grants of Probate
- Letters of Administration
The correct route depends on the document format.
For example, a court document with a wet-ink court seal may qualify for direct paper legalisation. By contrast, an electronic court document may need solicitor verification and certification first.
Because court rules can differ between provinces, confirm the required format with the Canadian court or lawyer.
Immigration and IRCC Applications
UK documents may support Canadian immigration, citizenship, study or work applications.
Examples can include:
- educational qualifications
- employment letters
- marriage documents
- divorce records
- police certificates
- court documents
- proof of company ownership
However, IRCC does not require an apostille for every application.
In fact, Canadian law does not generally require foreign public documents to carry authentication before use in Canada. The specific IRCC checklist or request letter should guide the applicant.
Therefore, do not order an apostille unless the application instructions or reviewing officer asks for one.
ACRO and DBS Certificates for Canada
An ACRO Police Certificate or DBS certificate may support immigration, employment, licensing or adoption matters.
These documents cannot receive an FCDO e-Apostille.
Instead, they must use the paper apostille route. The same restriction applies to UK birth, marriage, death, adoption and fingerprint certificates.
Even so, IRCC may not require the police certificate itself to carry an apostille.
Always follow the checklist for the relevant Canadian application.
Do UK Documents Need Translation?
Most UK documents appear in English. Therefore, they usually do not need translation for Canadian federal applications.
IRCC generally accepts supporting documents in English or French. Where a document uses another language, the applicant must provide an English or French translation and the required supporting certification or affidavit.
However, a Quebec authority or another local recipient may apply its own language rules.
Before arranging a translation, ask whether the recipient requires:
- an English version
- a French version
- a certified translation
- an affidavit from the translator
- translation of the apostille
- translation of every page
Separate or Combined Apostilles?
Several related documents can sometimes form one certified PDF.
However, this approach does not suit every Canadian application.
Separate apostilles may work better when:
- the Degree Certificate and Transcript have different uses
- an ECA provider wants separate files
- each document will go to a different body
- the recipient requests individual apostilles
- the documents come from different issuers
Before submission, confirm whether the Canadian recipient accepts one combined file.
Our Process
Step 1: Send the Document
Send us a clear PDF of the UK document.
Step 2: Provide the Canadian Requirements
Include any instructions from the Canadian authority, university, employer, regulator, court, bank or company.
Step 3: Check Whether an Apostille Is Needed
We first review whether the recipient actually requires legalisation.
Step 4: Select the Correct Route
Next, we check whether the document needs an e-Apostille or paper apostille.
Step 5: Verify the Document
Where possible, our solicitor checks the document with its issuing source.
Step 6: Prepare Enhanced Certification
We draft the correct wording and apply the solicitor’s electronic signature.
Step 7: Arrange the FCDO Apostille
Our team then submits the document through the suitable FCDO route.
Step 8: Send the Completed Document
Finally, we provide the completed legalised document.
The Canadian recipient can verify a UK paper or electronic apostille online by using its issue date and apostille number.

Frequently Asked Questions
Does Canada require an FCDO apostille?
Not in every case. Canadian law does not generally require authentication of foreign public documents. However, an individual university, court, bank, employer or regulator may request an apostille.
Is Canada part of the Hague Apostille Convention?
Yes. The Convention entered into force for Canada on 11 January 2024.
Does Canada accept an e-Apostille?
Canada uses the Hague Apostille system. However, you should confirm that the receiving organisation accepts an electronically signed PDF through its filing system.
Is true-copy certification enough?
It depends on the purpose. Some recipients may also want confirmation that the solicitor checked the document with its issuer.
Can you verify a UK Degree Certificate?
Yes, where the university provides a reliable verification route.
Does an apostille replace an ECA?
No. An apostille authenticates a relevant signature or seal. An ECA compares the foreign qualification with Canadian education standards.
Can you apostille an Academic Transcript?
Yes. We can review, verify and certify eligible Academic Transcripts before arranging the FCDO apostille.
Does IRCC require an apostille?
Not for every application. Follow the checklist or request letter for the relevant immigration, work, study or citizenship application.
Do English documents need translation?
Usually not. IRCC accepts documents in English or French. Documents in another language normally need an English or French translation.
Can an ACRO Police Certificate receive an e-Apostille?
No. An ACRO Police Certificate must use the FCDO paper apostille route.
Can several documents share one apostille?
Sometimes. However, the Canadian recipient may request a separate apostille for each document.
