When you use a UK document in Taiwan, a Taiwan authority may ask for Taipei Representative Office authentication.

In many cases, a UK apostille alone is not enough. You may need to complete two UK-side steps:

First, the UK FCDO Legalisation Office attaches a paper apostille. Then, the Taipei Representative Office in the UK authenticates the document for use in Taiwan.

Ginkgo Advisory helps clients complete this UK-side legalisation process for documents that need to be used in Taiwan.

When Do You Need Taipei Representative Office Authentication?

You may need Taipei Representative Office authentication when a Taiwan authority asks you to authenticate a UK document.

The Taipei Representative Office states that its authenticated documents are for use in Taiwan only.

This service is often needed for:

  • marriage certificates
  • birth certificates
  • death certificates
  • no impediment certificates
  • police certificates
  • medical certificates
  • passport copies
  • court orders
  • other documents required by Taiwan authorities

Our Taipei Representative Office Legalisation Service

Ginkgo Advisory can assist with the full UK-side legalisation chain for Taiwan use.

Our service can include:

  • UK paper apostille
  • Taipei Representative Office legalisation in London
  • FedEx courier to Taiwan

Where needed, the usual chain is:

solicitor or notary certification → UK FCDO paper apostille → Taipei Representative Office authentication → courier delivery to Taiwan

This keeps the process clear from the beginning.

Documents Commonly Authenticated for Taiwan

The Taipei Representative Office may authenticate UK documents when a Taiwan authority requires them.

Common documents include:

  • marriage certificates
  • birth certificates
  • death certificates
  • no impediment certificates
  • police certificates
  • medical certificates
  • passport copies
  • court orders
  • other documents requested by Taiwan authorities

Each document needs the correct preparation.

An original UK government certificate may not need the same treatment as a PDF document, passport copy, court order, electronic certificate or copied document.

Paper FCDO Apostille Comes Before TRO Authentication

Before you send a document to the Taipei Representative Office, you first need to legalise it with the UK FCDO Legalisation Office.

The Taipei Representative Office accepts paper-based apostilles only.

This matters because the next stage may reject a digital file, PDF printout or uncertified copy.

If your document does not meet the FCDO requirements, you may need solicitor or notary certification first.

PDF Documents May Need Solicitor or Notary Certification

Many UK documents now come as electronic files or PDF documents.

The Taipei Representative Office states that the FCDO will not apostille PDF documents directly from issuing authorities.

This means many electronic documents need extra preparation.

A solicitor or notary may need to:

  • check the document with the issuing authority
  • confirm that the document is genuine
  • certify or notarise the document
  • prepare it for the FCDO paper apostille

After this step, the FCDO can attach a paper apostille. The document can then go to the Taipei Representative Office for authentication.

Non-Original Documents May Also Need Certification

If your document is not an original hard copy issued by a UK government body or British authority, you may need solicitor or notary certification first.

This may apply to:

  • passport copies
  • court orders
  • PDF certificates
  • downloaded documents
  • copies of certificates
  • other non-original documents

The solicitor or notary should confirm the document’s authenticity in writing.

The Taipei Representative Office accepts wording such as:

  • “I certify that the document is genuine/authentic.”
  • “I certify this is a true copy of the authentic/genuine document.”

Good certification wording matters.

A basic “true copy” stamp may not be enough if the Taiwan authority needs clear confirmation that the document is genuine.

Which Documents Can TRO London Authenticate?

The Taipei Representative Office in London handles documents issued from specific places.

TRO London covers documents issued from:

  • Southern Britain, south of Durham and Cumbria
  • Guernsey
  • Jersey
  • British Virgin Islands
  • Cayman Islands
  • Falkland Islands
  • Gibraltar
  • Northern Ireland
  • Seychelles
  • Sierra Leone
  • Ghana, except marriage certificates and single status letters

If your document comes from one of these places, and a Taiwan authority asks for TRO authentication, the London route may apply.

When Should You Use TRO Edinburgh?

Some documents should not go to TRO London.

Documents issued by authorities in northern Britain, Durham, Cumbria, Scotland and the Isle of Man should go to the Taipei Representative Office in the UK, Edinburgh Office.

You should check the correct TRO office before submission.

Sending the document to the wrong office can delay the authentication process.

What About Documents Issued by Taiwan Entities or Individuals?

Documents issued by Taiwan entities or individuals follow a different route.

You should send those documents to the Bureau of Consular Affairs or MOFA branch offices in Taiwan for authentication.

You should not treat them as UK-issued documents for TRO London authentication.

Postal Application to the Taipei Representative Office

The Taipei Representative Office requires postal applications.

Before you send the application, you should check:

  • whether TRO London or TRO Edinburgh covers the document
  • whether the document is an original hard copy, PDF or copy
  • whether solicitor or notary certification is required
  • whether the document has a paper FCDO apostille
  • whether the TRO application form is complete
  • whether an authorisation letter is required
  • whether the authorisation letter has been signed and witnessed correctly

Ginkgo Advisory can assist with the London submission route.

Authorisation Letter and TRO Application Form Support

If someone submits the application for you, the Taipei Representative Office may require an authorisation letter.

Ginkgo Advisory can help prepare the authorisation letter and TRO application form.

We can also witness your signing of the authorisation letter for TRO submission.

This can help if you are already in Taiwan, Hong Kong or another overseas location and need UK-side handling.

FedEx Courier to Taiwan

After the UK FCDO apostille and Taipei Representative Office authentication are complete, Ginkgo Advisory can arrange FedEx courier delivery to Taiwan.

This helps clients who need authenticated UK documents for:

  • Taiwan administrative matters
  • marriage matters
  • family matters
  • immigration matters
  • medical matters
  • police record matters
  • legal matters

Why the Authentication Chain Matters

Taiwan document authentication needs a clear chain.

The document must be suitable for the FCDO apostille before it goes to the Taipei Representative Office.

If the document is a PDF, copy, court order, passport copy or other non-original document, a solicitor or notary may need to confirm authenticity first.

The FCDO then attaches a paper apostille.

After that, the Taipei Representative Office authenticates the document for use in Taiwan.

This chain helps Taiwan authorities see how the document was checked, certified, apostilled and authenticated.
