When you need to use a UK document in Taiwan, the Taiwan authority may ask for Taipei Representative Office authentication.
For many UK documents, the process does not stop at the UK apostille. You may first need a paper-based UK FCDO apostille, followed by Taipei Representative Office legalisation in London.
The Taipei Representative Office in the UK accepts authentication applications by post only. This means the postal submission must be prepared carefully from the beginning.
Ginkgo Advisory assists clients with the UK-side process, including 2 working days UK FCDO apostille service, TRO London legalisation service, authorisation letter support, application form support and courier delivery to Taiwan.
How to Submit Your TRO London Application by Post
The Taipei Representative Office in the UK accepts authentication applications by post only.
You should not attend the office in person unless the office has given specific instructions. For most document authentication matters, you need to prepare the documents and send the complete application by post.
Before you send your application to TRO London, you should check whether your UK document already has the correct paper-based FCDO apostille.
In many cases, the document must go through this chain first:
solicitor or notary certification → UK FCDO paper apostille → TRO London authentication → courier return
Ginkgo Advisory can assist with the UK apostille stage before arranging the next step with the Taipei Representative Office in London.
Include a Self-Addressed Pre-Paid Return Envelope
You should enclose a self-addressed, pre-paid return envelope inside your postal application.
This allows the Taipei Representative Office to return your authenticated document after processing.
The return envelope should show the correct receiver name and return address. You should check the address carefully before posting the application, because any mistake may delay the return of your authenticated document.
If you need the document returned to a UK address, you should use a suitable pre-paid UK postal or courier return envelope.
If you need the document returned overseas, you should follow the overseas courier requirements.
Overseas Applicants and DHL Return Courier
If you live outside the UK, you should provide return courier details for DHL overseas delivery.
Applicants with an overseas address should provide:
- receiver’s full name
- full overseas address
- post code
- contact telephone number
The Taipei Representative Office can then arrange DHL overseas courier service on behalf of the applicant.
This is important if you are already in Taiwan, Hong Kong, China, Singapore, the United States, Canada, Australia or another overseas location, but your UK document still needs TRO London authentication before use in Taiwan.
Ginkgo Advisory can also assist with courier planning after the UK-side process is complete.
If a Professional Agent, Friend or Family Member Submits for You
If a professional agent, friend or family member submits the application for you, the postal application should include an authorisation letter.
The authorisation letter helps confirm that the agent has permission to handle the application on your behalf.
The application should also include:
- a clear, high-quality copy of the agent’s passport
- the agent’s certificate of incorporation, if the agent is a company or professional agency
- any other supporting information required for the TRO London postal application
You should make sure the passport copy is clear and accessible. A blurry, cropped or low-quality copy may cause delay.
If a company or professional agent handles the application, the certificate of incorporation may also be required.
Why the Authorisation Letter Matters
The authorisation letter is important because TRO London needs to know who can act for the applicant.
This is especially relevant when the applicant is overseas and cannot handle the UK-side process personally.
A clear authorisation letter can help avoid confusion. It should identify the applicant, the authorised person or company, and the purpose of the authorisation.
Ginkgo Advisory can assist with preparing the TRO authorisation letter and checking the supporting documents before submission.

2 Working Days UK FCDO Apostille Service Before TRO London Legalisation
Before a UK document can go to TRO London for Taiwan use, it often needs a UK FCDO apostille first.
Ginkgo Advisory can assist with our 2 working days UK FCDO apostille service where the document is ready and suitable for apostille.
This service is useful for clients who need to move quickly, especially when the document is required for:
- Taiwan marriage registration
- Taiwan household registration
- Taiwan family matters
- Taiwan immigration matters
- Taiwan medical matters
- Taiwan police record matters
- Taiwan legal or administrative matters
The FCDO apostille confirms the UK signature, seal or stamp on the document. After that, TRO London can authenticate the document for use in Taiwan.
TRO London Legalisation Service for Taiwan Use
After the UK FCDO attaches the paper apostille, the document may need to go to the Taipei Representative Office in London.
Ginkgo Advisory can assist with the TRO London legalisation service for UK documents that need to be used in Taiwan.
This may include checking the document set, preparing the application form, preparing the authorisation letter, arranging the postal submission and helping with courier return.
The aim is to make the process easier for clients who do not want to manage each UK-side step separately.
UK Documents Commonly Submitted to TRO London
TRO London authentication is commonly needed for UK documents used in Taiwan.
Common examples include:
- UK marriage certificates
- UK birth certificates
- UK death certificates
- UK no impediment certificates
- UK police certificates
- ACRO police certificates
- UK medical certificates
- UK passport copies
- UK court orders
- UK divorce documents
- HMCTS court orders
- UK company documents
- other documents requested by Taiwan authorities
Each document may need different preparation before apostille and TRO legalisation.
For example, an original government-issued certificate may be treated differently from a PDF document, scanned document, passport copy or court order.
PDF Documents, Copies and Non-Original Documents
Some UK documents are not original paper certificates.
They may be PDF documents, downloaded files, electronic certificates, scanned copies, passport copies or court documents issued in digital format.
These documents may need solicitor or notary certification before the FCDO can attach a paper apostille.
In many cases, a solicitor or notary should confirm the authenticity of the document before the apostille application.
This helps create a clearer chain for Taiwan use:
document checked → solicitor or notary certification → FCDO paper apostille → TRO London authentication
Ginkgo Advisory can help check whether this extra step may be required before the document goes to the FCDO and TRO London.

Why Correct Postal Submission Matters
TRO London postal submission requires careful preparation.
If the application form, authorisation letter, return envelope, apostille or supporting documents are incomplete, the process may be delayed.
The most common issues include:
- missing paper-based FCDO apostille
- unclear authorisation letter
- missing agent passport copy
- missing certificate of incorporation for a company agent
- incomplete return courier details
- incorrect return address
- unclear document purpose
- sending the document to the wrong TRO office
A clear submission helps reduce the risk of delay.
