Need to legalise a UK document quickly for overseas use?
Ginkgo Advisory provides solicitor verification, enhanced solicitor certification and FCDO e-Apostille support for eligible UK documents. Our service helps clients prepare UK documents for digital legalisation, without sending original papers to the FCDO.
The key focus of this service is the FCDO electronic e-Apostille route. We review your document, check whether it is suitable, verify it where possible, prepare the solicitor certification, apply our solicitor’s electronic signature and arrange the FCDO e-Apostille application.
Our solicitor’s digital signature is registered with the FCDO for the e-Apostille process. As a result, eligible PDF documents can move through the digital legalisation route more efficiently.
What Is an FCDO e-Apostille?
An e-Apostille is the electronic version of a UK apostille issued by the Foreign, Commonwealth & Development Office.
With a paper apostille, the FCDO attaches a physical certificate to a paper document. By contrast, an e-Apostille works in digital form. The FCDO attaches an electronic apostille certificate to a PDF document.
After approval, you can download the legalised PDF and share it by email or online upload.
This route works well when the overseas recipient accepts digital documents. It can also save time because you do not need to post the original document to the FCDO.
Why Solicitor Certification Matters
Many UK documents need certification before the FCDO can legalise them.
For academic, professional, commercial and personal documents, a UK solicitor can often certify the document first. The FCDO then legalises the solicitor’s signature.
At Ginkgo Advisory, we do not treat solicitor certification as a simple copy stamp exercise. Instead, we focus on document credibility.
Where possible, we check the document against an official source, issuing authority, verification portal, university system or other reliable evidence. We can then prepare enhanced solicitor certification wording that confirms the authenticity checks carried out.
This gives the overseas recipient a clearer legalisation chain. It also helps reduce questions about how the document was checked before apostille.
Our FCDO e-Apostille Service
Our service helps clients prepare eligible UK documents for the FCDO e-Apostille process.
Depending on the document, we can assist with:
- Initial document review
- e-Apostille suitability check
- Overseas recipient requirement check
- Solicitor verification of authenticity
- Enhanced solicitor certification
- Electronic solicitor signature
- PDF preparation for FCDO submission
- FCDO e-Apostille application
- Digital delivery after legalisation
The FCDO currently offers an e-Apostille service for eligible PDF documents. It also provides a faster processing option, with applications usually processed within 2 working days. However, processing may take longer if the FCDO has questions about the application or the signature.
Therefore, correct preparation matters. A document should be in the right format before submission.
Which Documents May Be Suitable?
The FCDO e-Apostille route may suit many UK documents, including:
- UK degree certificates
- UK academic transcripts
- University enrolment letters
- Student status letters
- Professional qualification certificates
- Training certificates
- Employment letters
- 公司文件
- Contracts
- 授权书(Power of Attorney)
- 护照复印件
- Driving licence copies
- Other solicitor-certified copies
However, suitability depends on the document type, the destination country and the overseas recipient’s requirements.
For example, one authority may accept a solicitor-certified PDF with an e-Apostille. Another authority may ask for a paper apostille or notarial certification.
For this reason, we always recommend checking the recipient’s exact requirements before applying.
Documents Not Suitable for e-Apostille
The FCDO excludes some documents from the e-Apostille service.
可网上申请的证书包括:
- General Register Office documents, including birth, death, marriage, civil partnership and adoption certificates
- ACRO police certificates for England and Wales
- DBS certificates for England and Wales
- Disclosure certificates for Scotland or Northern Ireland
- Fingerprint certificates
- ACCA membership certificates
These documents usually require the paper-based apostille service instead.
If you are unsure which route applies, we can review your document and advise whether an e-Apostille or paper apostille is more suitable.
Check Whether the Recipient Accepts e-Apostilles
Before applying, you should check whether the overseas recipient accepts e-Apostilles.
This step is important because an e-Apostille only works in digital form. The legalised PDF contains electronic signatures and should be shared as a digital file.
You should ask the recipient whether they will accept:
- A digital document with an e-Apostille
- A PDF electronically signed by a UK solicitor
- Solicitor certification, or notary certification only
- One e-Apostille covering several documents in one PDF
- A separate e-Apostille for each document
Although countries that use the Apostille Convention should generally recognise apostilles, practical acceptance can still vary. For example, some authorities may not accept digital documents for their own internal process.
Therefore, checking first helps avoid delay, rejection or extra cost.
Separate PDF or Combined PDF?
The PDF structure can affect how the FCDO issues the e-Apostille.
If each document needs its own e-Apostille, each document should usually be prepared as a separate PDF.
If several documents sit inside one PDF, the FCDO will usually issue one e-Apostille for that combined file. As a result, the documents must be shared together as one legalised digital bundle.
For example, a degree certificate and transcript can be prepared as two separate PDFs if the recipient needs two apostilles. Alternatively, they can be combined into one PDF if the recipient accepts one legalised bundle.
We can help you choose the safer structure based on the destination country, document type and recipient’s instructions.
Why Choose Ginkgo Advisory?
Ginkgo Advisory is a solicitor-led UK certification and legalisation service.
We focus on both speed and credibility. Many overseas authorities do not only want a certified copy. They want to understand who checked the document, how it was certified and why the apostille should be accepted.
Our service is suitable for clients who need:

- Solicitor verification of authenticity
- Enhanced certification wording
- FCDO e-Apostille preparation
- A digitally signed PDF
- A fast digital apostille route
- Clear guidance before submission
- Professional handling of academic, personal and commercial documents
Our solicitor’s digital signature is registered with the FCDO for e-Apostille purposes. This allows us to prepare eligible documents for the electronic legalisation route.
一般流程
Step 1: Send Us the Document
You send us a clear scan or digital PDF of the document.
We then review the document and check whether solicitor certification and e-Apostille may be suitable.
Step 2: Confirm the Overseas Requirement
Next, we help you consider the recipient’s requirements.
This may include whether the recipient accepts e-Apostilles, whether they require a solicitor or notary, and whether each document needs a separate apostille.
Step 3: Verify the Document Where Possible
Where a verification route exists, we check the document against an official or reliable source.
For academic documents, this may involve a university verification system, official email confirmation, digital credential platform or other recognised route.
Step 4: Prepare Enhanced Solicitor Certification
After verification, we prepare the solicitor certification.
Where appropriate, the wording can include authenticity confirmation. This helps explain the checks carried out before certification.
Step 5: Apply the Solicitor’s Electronic Signature
We then electronically sign the certified PDF.
For the FCDO e-Apostille service, the PDF must be prepared correctly and electronically signed by a UK solicitor or notary using an accepted digital signature.
Step 6: Submit the FCDO e-Apostille Application
After the PDF is ready, we arrange the FCDO e-Apostille application.
The FCDO currently offers a processing option of up to 2 working days for eligible e-Apostille applications. However, this timeframe may vary if the FCDO raises questions.
Step 7: Receive the Legalised PDF
Once the FCDO approves the application, the legalised PDF becomes available for download.
You can then share the PDF with the overseas recipient by email, portal upload or other digital method.
Common Uses for FCDO e-Apostille Documents
Clients often use our FCDO e-Apostille solicitor certification service for:
- Overseas employment
- Work visa applications
- University admission
- Degree recognition
- Professional registration
- Immigration applications
- Business transactions
- Overseas company formation
- Property matters abroad
- School or university documentation
- International compliance checks
Each country and organisation may apply its own rules. Therefore, the safest route is to check the requirement before legalisation begins.
FCDO e-Apostille or Paper Apostille?
An e-Apostille is fast, digital and easy to share.
A paper apostille attaches to a physical document. Some authorities still prefer or require this format.
The best option depends on three questions:
First, is the document eligible for e-Apostille?
Second, can the document be prepared as a correctly signed PDF?
Third, will the overseas recipient accept a digital apostille?
If the answer to all three questions is yes, the e-Apostille route may be the most efficient option.
If not, the paper apostille route may be safer.
